Texting for Gyms, Fitness Studios and Trainers

How gyms, fitness studios and trainers text members and leads: class reminders, waitlist spots, trial follow-up, promotions with consent, 10DLC and cost.

Members who show up stay members. Gyms, boutique studios, boxing gyms and personal trainers text to fill classes, remind members of sessions they booked, follow up with people who requested a trial and opted in, and bring back members who haven't been in for a while. A short text is easy to read in the minutes before a class.

What gyms and studios text

  • Class and session reminders, with a reply to confirm or cancel.
  • Waitlist spots that open up when someone cancels.
  • Trial and tour follow-up for people who requested a pass or visited and opted in.
  • Membership updates: payment due, card expiring, schedule changes.
  • Promotions to members and leads who opted in: challenges, referral offers, new class launches.

Consent for gym texts

  • Bookings and memberships. A member who books a class or signs up and gives a number for that purpose has given it for those bookings and account updates. Those texts are informational; sent with automated systems they still need the member's consent, which giving the number for that purpose typically covers.
  • Trial follow-up and promotions are marketing and need prior express written consent: an unchecked box on your trial or sign-up form that names your gym, says the person agrees to receive marketing texts and how often, that message and data rates may apply, how to get help or opt out, and that agreeing isn't a condition of purchase. See how to word SMS consent.

Keep your own record of each consent; Signilio doesn't keep that proof for you. STOP-keyword opt-outs are honored automatically; treat any reply asking you to stop as an opt-out too.

Trial follow-up without overdoing it

Text a trial lead within minutes of the request, follow up once or twice, and stop when they don't reply. Keep marketing texts between 8am and 9pm in the person's local time (8pm in states like Florida, Oklahoma and Maryland, which also cap telephone solicitations at three per 24 hours on the same subject). See speed to lead.

Keep body measurements, health conditions and progress details out of texts; share those in person or through your member app, if you have one.

One inbox for the front desk and trainers

Front-desk staff, coaches and trainers can answer members from one shared inbox on the gym's registered numbers, with each conversation assigned, and trainers can reply from the mobile app between sessions.

10DLC registration for gyms and studios

Gyms and studios texting from local numbers register a brand under the business's legal name and EIN and a campaign describing class reminders, membership updates and promotions. Since February 2025, US carriers block unregistered business traffic from local numbers. See 10DLC registration.

What texting costs a gym

On Signilio, Growth is $79.99 a month for 3,000 texts and 5 seats, and Pro is $189.99 a month for 12,000 texts and 15 seats, with carrier fees included and replies free. See pricing.

None of this is legal advice; have counsel review your program before you send.

Common questions

Can gyms text members?
Yes. Class reminders and membership updates are informational and go to the number the member gave for those purposes. Promotions and trial follow-up are marketing and need prior express written consent.
Do gyms need 10DLC registration?
Yes, to text from ordinary local numbers. The gym registers a brand (legal name and EIN) and a campaign describing its messages. Signilio registers your brand and campaign during onboarding.
How should a gym follow up with trial leads?
Text within minutes of the request, follow up once or twice, and stop if they don't reply. Get written consent on the trial form, name your gym and include how to opt out.
Can personal trainers text clients?
Yes, for sessions the client booked, with the client's consent. Promotions need written consent. Keep health and progress details out of texts.
Can members confirm or cancel classes by text?
Yes. Replies land in the shared inbox for the front desk, so a member can confirm or cancel with one letter and staff can release the spot.
